Short Let Manager

 

Penny & Sinclair are recruiting for a Short Let Manager with a background in either holiday lets or residential lettings to manage the Short Let department within the busy Oxford City office. The main purpose of the role is to manage the department day to day, leading and motivating your team as well as maximising the overall performance of the department. A significant number of people use Short Lets as a more cost effective and convenient solution to hotels. There is an ever increasing demand for those seeking flexible, short term self-catering accommodation. Guests typically include holidaymakers, university academics, film crews, clients who are between house moves and professionals who have interim work contracts.

 


Key Duties & Responsibilities

 

  •  Day to day management of the department (team of 3 + manager)
  • Responsible for the performance of the department
  • Coordinating, implementing and optimising all processes
  • Managing and maximising the performance of the team and leading by example
  • Responsible for bringing in new business and building on local sales and relationship
  • Excellent networking skills to develop new business opportunities
  • To abide by service standards and all legislation
  • Good knowledge of the local area in order to offer suitable property advice to clients
  • The ability to carry out property valuations to a high standard, knowing the local market
  • A passion for high level customer service at all times
  • Ability to work well in a pressurised and busy environment
  • Outstanding problem solving and communication
  • Ensure effective communication with other departments including sales, lettings and accounts when needed
  • Ensuring keys are thoroughly controlled and managed at all times
  • Liaise with the in house Design Coordinator and property owners with interior design improvements and ensure the property is marketed to its full potential
  • Managing guest bookings and dealing with any guest or owner queries
  • Coordinate guest check outs - this may include appointments on
  • Sundays or out of normal working hours where £25 per appointment is paid to you (duty shared with the whole team)
  • Full management of the Airbnb account which may involve responding to booking requests outside office hours when required
  • Be responsible for the emergency telephone dealing with any maintenance reports as per scheduled rota
  • When needed, commission any necessary maintenance work or supplementary services required to maintain properties to a high standard, controlling the quality of contractors
  • Manage the return of damage deposits which may involve a balance of assertiveness and diplomacy
  • Maintain excellent relationships with all owners and guests

 

 

Skills, Abilities & Personal Characteristics

 

  •  Must have experience in holiday / short lets or residential lettings
  • You have strong leadership, personnel management and development skills
  • Excellent at motivating and mentoring a team
  • Able to prove a track record in generating new business
  • A positive attitude and friendly demeanour 
  • Full UK driving license + own car
  • Previous management experience
  • Excellent organizational, interpersonal and communication skills
  • Must be well presented
  • Must be computer literate with Microsoft packages and Outlook

Property Manager

 

Penny & Sinclair are looking to hire a Property Manager to join our growing Property Management team in Oxford City, St Clements. The main purpose of this role is to care for our residential lettings properties ensuring a high level of guest and owner satisfaction. You will be responsible for a portfolio of properties in Oxford, ensuring all aspects of property management are completed.

 

Key Duties and Responsibilities

 

  •  Overseeing the running, upkeep and maintenance of the property on behalf of the landlord
  • Assess and resolve maintenance issues, liaising with appropriate contractors
  • Conduct property inspections and complete appropriate reports liaising with the landlord giving relevant advice
  • Ensuring the property is fully prepared for tenants to move in – organising gas safety record, electrical safety, keys, pre tenancy clean, checking all appliances and any pre-requisites
  • Liaising with tenants and contractors for access
  • Manage end of tenancy returns for a managed client portfolio
  • Ensure deposit returns are managed within company timescales and any issues between parties resolved (training will be given)
  • Check invoices received against works orders and arrange payment to contractors
  • Maintain high standards of communication with landlords and tenants
  • Negotiate dilapidation compensation for the landlords of a managed client portfolio
  • Ensuring the property is continuing to be legally compliant and is being looked after by the tenant
  • Undertake any general administration tasks that may be required
  • Building excellent relationships with landlords, tenants and contractors
  • Work closely with Accounts in managing rent arrears

  •  Ability to handle difficult situations in a professional and empathetic manner
  • Fantastic problem solving and organisation skills
  • Great time and diary management
  • Knowledge of the industry; basic knowledge of heating and hot water systems, plumbing and electrical systems
  • Knowledge of legislation changes and health & safety compliance as essential
  • Previous experience as a Property Manager is essential
  • A valid UK driving licence and access to own car
  • Excellent verbal communication skills both by telephone and face to face
  • Able to communicate accurately and concisely using written communication
  • Confident telephone manner
  • Good personal presentation and conduct
  • Good IT skills and knowledge of MS Office
  • Ability to remain calm under pressure
